By-Laws

 

Article I

 
Name of Organization
 
Section 1. The name of the organization shall be; The Lexington Alumni Association of Lexington, Oklahoma
 

Article II

 

Officers

 
Section 1. The officers of the Lexington Alumni Association shall consist of a President, Vice President, Secretary and Treasurer
 
Section 2. Each Alumni Officer will serve five (5) years. Officers can succeed himself/herself if elected by the Alumni Association at the regular business meeting held every five (5) years, amending Article II of the 1961 By-Laws.
 
Section 3. Election of Alumni Officers to be held at the regular business meeting of the Lexington Alumni Association once every five (5) years.
 
Section 4. Resignation or death of an Officer during the five (5) year period shall constitute a vacancy and cannot be filled except at the regular business meeting. Should an emergency arise, the Ex-Officio Officer shall perform the duties, on a temporary basis.
 
Section 5. Newly elected Officer's shall begin their term, January 1, following the Alumni Reunion: All records will be completed, updated and presented to the new Officers at that time

Meetings
 
Section 1. Meetings of the Alumni Officers shall be held any day or evening of the week as scheduled by the President, during the five (5) year period. Meetings can be cancelled and/or rescheduled as requested by the President. The time and place of the meetings shall be given to each Officer. Alumni meetings can be held a any location as  selected by the President, Amending Article 1 of the 1961 By-Laws.
 
Article V
 
Quorum
 
Section 1. At all meetings of the Alumni Officers, the presence of two (2) Officers shall constitute a quorum. The President and/or Vice President must be present to conduct the meeting.
 
Article VI
 
Duties of the President
 
Section 1. The President shall conduct all meetings of the Alumni Association.
 
Section 2. The President shall appoint committee chairpersons. The committee members may be persons not serving as an Alumni Association Officer. The chairperson of all committees must have the approval of a majority of the Alumni Officers for all projects.
 
Section 3. The chairperson shall be responsible for letters being mailed, or phone calls, notifying committee members of special meetings, time and place.
 
Article VII
 
Duties of the Vice President
 
Section 1. The Vice President shall act at meetings when the president is absent. It shall be the responsibility of the Vice President  to get a list of each graduating class every year during the five (5) year period. It shall be the responsibility of the Vice-President to keep the present list of Alumni addresses updated. The Vice-President shall keep each year, an updated list of all graduating classes.
 
Article VIII
 
Duties of the Treasurer
 
Section 1. He/she shall be responsible for all the Alumni Association's financial business. He/she will keep accurate records of all money received and/or disbursed and shall make regular financial reports to the Association. No checks shall be written without the signature of the Treasurer, and consent of the local Alumni officers.
 
Section 2. It shall be the duty of the Treasurer to deposit all excess money into some form of a savings account during the five (5) year period. In the absence of the Treasurer, The Secretary shall take care of the financial report.

Article X
 
Alumni Association Functions
 
Section 1. The Alumni Association functions, is to assist the Community and School system by giving advisory input into their programs.
 
Section 2. The Alumni Association functions, is to prepare once every five (5) years, an all day program and evening banquet with entertainment and business meeting.
 
Article XI
 
Dues
 
Section 1. There will be no dues assessed by the Association. Charges for Banquet and registration will be set up by local Officers serving during the five (5) year period.
 
Article XII
 
Amendments
 
Section 1. These By-Laws may be changed in their entirety or in part by a majority vote of the Alumni Association at their regular business meeting held once every five (5) years.
